JOB PURPOSE

Your purpose is to support, but not limited to, all service lines provided by Xerox.

You will apply your expertise to support the department’s effort in seeking new and cost-effective ways of working within the department and may also include areas outside of your department. You will be expected to understand how your activities contribute to overall business performance and add value to the services delivered.

Oversee the day to day operations of an onsite print and mailroom based in Cardiff city Centre. This role requires a hands-on individual who can supervise as well as learn operational tasks to contribute to the print and mail room duties.

KEY JOB ACCOUNTABILITIES

  • Maintain and update various data trackers for the Projects/Programs.

  • Act as a point of contact for resolving day-to-day data issues for internal and external customers as they arise.

  • Liaise with suppliers and customers

  • In conjunction with the Operations Manager, establish and maintain a set of departmental performance metrics and initiate improvements where shortfalls are highlighted.

  • If required, supervise activities of offload worker(s) and provide support. Assist in provision of 'on the job training’ and technical/process guidance to newly initiated team members. Provide trainees with regular feedback on their performance - ensuring that this is constructive and developmental in nature. Provide experienced advice and assistance to managers and customers.

  • Ensure that all your work is performed in accordance with documented departmental processes. Be proactive in looking for continuous improvement of any process (and supporting documentation) that you are involved in (directly or indirectly) and put forward proposals for improvement to your manager or the process owner. Should any requirement arise that is not adequately covered by an existing process, consult with your manager for advice.

  • Ensure that task outputs are agreed with relevant customers and understand how these expectations and requirements are to be met. Complete all tasks to the agreed quality standard and schedule. Any circumstances impacting adherence to schedule must be reported to your manager as early into the task as possible.

  • Scanning of documents using the kodak scanner

  • Operate printing and finishing equipment used in the Print Room to achieve the requested output and to the required quality standard.

  • Rotate team members to meet days demands of workflow

  • Ensure all work is completed and delivered in a timely manner with the customers needs always put first

  • Embrace a can-do attitude when dealing with difficult tasks

ESSENTIAL KNOWLEDGE, SKILLS & EXPERIENCE

  • Computer literacy. Can learn new programs quickly. Be proficient in the use of Adobe Acrobat, and have a working knowledge of all Microsoft programs, Word, Excel, Outlook etc.

  • Communications skills. Can collect/check/correct information to produce standard reports, write memos, letters etc. Read, understand, and make practical use of published information. Use of general statistics in performance of job role.

  • Interpersonal skills. Can give guidance and support to others and to provide/obtain information from other areas of the Company and external agencies.

  • Self-motivated and able to both lead and work as part of an integrated team, ability to identify work priorities to maximise time available.

  • Capable of leading a team and giving out direction to others

  • Experience of working in a print and scan facility previously is preferred

  • Experience leading a team is essential
