Senior Executive Assistant to the President and COO
We currently have an opening for a Senior Executive Assistant who will supportthe President & Chief Operating Officer at Xerox, a global Fortune 500 technology company. This role is highly demanding and dynamic, and requires someone who is a self-starter, who can operate autonomously, working on a range of assignments and daily responsibilities that are time-sensitive and require a high-level attention to detail. The ideal candidate has prior experience supporting C-suite executives and understands how to prioritize requests from multiple constituents: executive committee, board of directors, business leaders, employees and customers.
This position is part of a executive admin team,and will be expected to provide backup support to the CEO Executive Assistant and other assistants on the team.
Manage email and calendar activity with attention to critical prioritization of meetings and action items.
Arrange domestic and international travel, including the processing of travel and expense reports.
Set up and run Teams or other online meetings; partner with technology team as required.
Partner with President and COO direct reports and global leaders to help ensure commitments and deadlines are met.
Create and maintain distribution lists and organizational charts.
Provide project management support for small and large events and special projects.
Manage vendor relationships (queries, invoicing, procurement activity, etc.).
Ensure compliance with policies (Travel Policy, Car Parking Policy, Purchasing Policy, etc.).
Assist in budget preparation and control activities.
Provide and manage reporting requests, including output from our internal employee reporting system, GEMS.
Support Contract Management activity (database management, document retention, and archiving in accordance with document retention policies, as required).
Provide support to the Executive Committee as required.
Provide backup support for the CEO Admin Assistant as needed.
Mentor other onsite Administrative Assistants.
5-10+ years of experience supporting C-level executives in a corporate headquarters environment
Expert office management and Microsoft skills; PowerPoint, Excel, Word and Teams
Exceptional communication skills, both written and verbal
Effective, independent problem-solver
Highly trustworthy, organized and a self-motivator
Fast learner who can assimilate into a new environment with ease
Ability to travel for occasional events or meetings as needed
