Xerox UK Framework Reporting Operations Executive in Romania

PURPOSE OF ROLE

• Prepareagreed MI reports for Invoicing & Productivity within the agreed SLA andquality

• Identify& report on risk and data incompatibility

• Identify& report on productivity initiatives

The output delivered by the UK FrameworkReporting Specialist is a spend report based on which the supplier willinvoice Xerox a rebate charge. It is also highly visible within the businessand supports the central measurement of framework profitability.

SCOPE OF ROLE

• Support Framework reporting of $70millionper annum under CCS alone

• The contract is worth $36m over the next 4years

• 15,000 devices installed

• Independent contributor with no peoplemanagement responsibilities.

MAJOR RESPONSIBILITIES

• Prepareagreed MI (standard customer template) for Invoicing & Productivitywithin the agreed SLA and quality

Validate MI supporting data, exported from various systems – Sap, Mercury, Profinance - against checking point to ensure accuracy. This can include:

  • Ensuring new contracts are captured in the report

  • Validate lease charges from Xerox Finance by account

  • Ensure all accounts release invoices to the relevant system (e.g. Mercury) in support of the accounting process

• Validate the rebate invoice from the supplier, to ensure it reflects the submission

• Engage with relevant internal stakeholders to verify and resolve data incompatibility

• Confirm with process owners that the systems are always updated to mirror the latest findings

• Arrange monthly MI submission reviews with the Framework Manager and XUK Chief Accountant. Typically this is WebEx and a two way process (a) answering questions (b) jointly creating opportunities

• Produce internal reports, pre-determined and ad hoc, and respond to all queries in relation to Frameworks under your remit

• Support manager in new deal / existing deal change processes

• One-off projects as required by the business

Vital:

• A good communicator with people of varying understanding of the Financial

and Commercial aspects of the business – from Chief accountant to operations staff

• Numerate with an ordered and structured mind-set

• A good knowledge of Excel

• Previous experience of working in a business environment – preferably in a

large company environment

Important:

• An understanding of financial systems e.g. SAP

• Basic understanding of business processes
